02Guide

Mail server: setup, connecting your domain and deliverability

Mail Server is a VDS dedicated to email: the server, the IP address and all the mail are yours and not shared with other customers. When the server starts, the open-source mailcow installs itself; you add your domains and mailboxes in its web panel. If you need only a few accounts and do not want to manage a server, the Mail Hosting plans are a better fit.

01

What comes installed?

  • mailcow admin panel: domains, mailboxes, aliases, forwarding and quotas; DKIM key generation.
  • SOGo webmail: email, calendar and contacts in the browser.
  • IMAP, POP3, SMTP: Outlook, Thunderbird and the iPhone and Android mail apps connect over SSL.
  • Rspamd spam filter and ClamAV virus scanning: incoming and outgoing mail is scanned.
  • Automatic SSL: mailcow obtains and renews a Let's Encrypt certificate.
  • Root access: the server is entirely yours; you update mailcow yourself.
02

First steps after ordering

  • Once payment is confirmed the server is set up and mailcow is ready in 5–10 minutes. The admin panel address, user name and first password appear on the service page in your client area.
  • Change your password at your first sign-in and turn on two-factor authentication.
  • Add your domain and then your mailboxes in the panel; generate a DKIM key for your domain.
  • Outgoing mail (port 25) opens within a few minutes of activation.
03

Connecting your domain: MX, SPF, DKIM, DMARC and reverse DNS

At first boot the server is set up with a ready name based on your IP address (e.g. 176-96-128-X.hanhosting.net) whose DNS and reverse DNS records already exist. In your domain's DNS, point the MX record to this server name and add an SPF record with the server's IP; you copy the DKIM value from the mailcow panel. Start DMARC in monitoring mode (p=none). The full list of records is also in /root/mailcow-bilgileri.txt on the server.

To use your own name (e.g. mail.yourdomain.com): point its A record to the server's IP, run mailcow-alanadi mail.yourdomain.com over SSH and change the IP's reverse DNS (PTR) to the same name in your client area. A matching reverse DNS and server name matter for receivers such as Gmail and Outlook to accept your mail.

04

Email client settings

  • Incoming mail (IMAP): port 993, SSL/TLS
  • Incoming mail (POP3): port 995, SSL/TLS
  • Outgoing mail (SMTP): port 465 SSL/TLS or 587 STARTTLS; the user name is the full email address.
05

Mail Server or Mail Hosting?

Mail Hosting is a plan on a shared server with limited accounts and storage, maintained by us. Mail Server is for those who need their own IP address, unlimited accounts and domains, their own spam and virus settings and root access: companies with many mailboxes, those who want several domains in one place, and agencies that provide email to their own clients. In return, updating and backing up the server is your responsibility.

06

Backups, updates and usage

Automatic backups are not included. Back up your mail regularly with mailcow's own backup script (helper-scripts/backup_and_restore.sh) to Cloud Backup storage or with your own method. mailcow is updated on the server with ./update.sh.

Do not send unsolicited bulk email: if the IP address is blacklisted, mail from every address on the server is affected. Because services are set up automatically once payment is confirmed, refunds are not issued (refund and cancellation policy).

?Frequently asked questions

Questions about Mail Server

How many email accounts can I create?
There is no limit on accounts or domains; the plan's disk space and server resources set the limit.
Is there monthly billing?
No, Mail Server is sold yearly only. With a yearly purchase, a .com or .com.tr domain is free for the first year.
Is the IP address mine?
Yes, the server's IP address is used only for your mail; you can change its reverse DNS (PTR) record to your own domain in the client area.
Is port 25 open for outgoing mail?
Yes, on Mail Server services port 25 opens automatically within a few minutes of activation.
Can I use it in Outlook and on my phone?
Yes. It connects to Outlook, Thunderbird and the iPhone and Android mail apps over IMAP/POP3 and SMTP; SOGo is ready for webmail.
Can I upgrade my plan?
Yes, you move to a higher plan in the client area and the difference is invoiced. Downgrades are not available.
